Privacy notice

What we collect
When you send an enquiry, we collect your name, email address, and optionally your phone number and company name, plus your message.
If you become a customer, we also keep your contact details, the work we do for you (jobs and service visits), invoices, credit notes and payments, and the technical details we need to support your systems.
Why we use it
To respond to your enquiry and, if you become a customer, to provide our services, invoice you, keep our accounts and meet our legal obligations, such as keeping VAT and tax records. We do not sell your details or use them for marketing without asking.
Our customer portal (ADD)
We keep customer records in ADD, our own online system. It runs on a secure server that we manage, and only we, and people you authorise, can sign in to see your records.
Who we share it with
Our accounting software. To keep our accounts and submit our VAT returns, ADD sends copies of our invoices, credit notes and payments, with the customer name, address and contact details they carry, to QuickBooks Online, provided by Intuit. Intuit holds that information under its own Global Privacy Statement.
Reading supplier invoices. When we photograph or upload a supplier's invoice to us, ADD may send the image to an AI document-reading service (Anthropic) to read details such as the supplier, date and amounts. These are our suppliers' invoices; they don't normally contain your personal information.
We don't share your information with anyone else unless the law requires it.
How long we keep it
Enquiries that don't lead to work are deleted within 12 months.
Invoices, credit notes and payment records are kept for at least six years after the end of the tax year they relate to, as HMRC requires. Other customer records are kept while we work for you, then reviewed and deleted when no longer needed.
Your rights
You can ask to see, correct or delete the information we hold about you. Email info@rbrs.co.uk. If you're unhappy with how we handle your information, you can complain to the ICO at ico.org.uk.
